These terms and conditions apply to all bookings and quotations for bookings made with Travel Agenda Ltd, 25 Horsell Road, London, N5 1XL England.
These conditions apply whether the contract has been made verbally or in writing and regardless of receipt of written confirmation.
Accuracy of information
At the time of writing all information on the Travel Agenda website and in other published material is considered accurate. We will endeavour to amend and advise of any changes, however, we cannot be held responsible for inaccuracies in descriptions of any services provided by third parties. If at any time you wish us to re-check a description, please ask and we will be happy to oblige.
Prices
Prices are confidential and intended only for use by the representatives of the client (customer of Travel Agenda). Prices are in GB Pounds – unless otherwise stated - and all offers are subject to availability.
All prices quoted include all relevant local taxes, service charges (where appropriate) and VAT.
Prices are net and are not subject to any further discounts.
Travel Agenda reserves the right to increase prices if suppliers, exchange rate fluctuations or governmental action bring about price increases (for instance, a change in VAT tax or increases in petrol prices due to unrest in oil producing countries).
Booking procedures
All bookings must be requested in writing by email or fax to the Travel Agenda office. Travel Agenda will reply with a written quotation. When full payment for the booking has been received by Travel Agenda, final confirmation is made in writing (usually by the issue of vouchers) for the services confirmed as booked. All bookings are subject to availability until vouchers have been issued.
Special Requirements
Any special requirements should be requested at the time of booking. Please note that provision of special requirements cannot be guaranteed but Travel Agenda will make every effort to ensure that the suppliers of services provide for such special requirements wherever possible.
Payment
Payment must be made in GB pounds (£) - unless otherwise agreed in writing by Travel Agenda -and payment must be made by credit card or bank transfer to the bank account of Travel Agenda, accompanied by the Travel Agenda Booking Reference Number or Invoice Number. For payments made by credit cards; we accept most major credit cards and a charge will be applied to cover costs (currently 4%).
A copy of the bank transfer document must be sent by fax or e-mail to Travel Agenda at the time of making payment.
All costs of transmitting payment (including currency costs, where appropriate) to Travel Agenda must be borne by the sender.
Group bookings; full payment must be received no later than 31 days prior to the arrival of guests, otherwise Travel Agenda reserves the right to cancel all services.
FIT bookings; full payment must be received no later than 5 days prior to the arrival of guests (this may be required sooner if demanded by our supplier). Travel Agenda reserves the right to cancel all services if payment is not received within the required period.
Failure to pay in a timely fashion may lead to the levying of any cancellation/alteration fees.
Amendments to bookings
All amendments must be requested in writing by email or fax to the Travel Agenda office. Any such received on a weekend or public holiday cannot be dealt with until the next working day. Travel Agenda will reply and confirm whether the amendment can be made or if there is not enough time to make the requested changes. Unless a confirmation has been received then the booking will be as previously confirmed.
Cancellation Policy
Cancellations are only accepted from the client or party organiser and all cancellations must be made in writing by e-mail or fax to Travel Agenda Ltd.
Overnight Sightseeing Tours, Concert, Theatre and Sport tickets, The London Eye and Special Event Packages cannot be cancelled.
Travel Agenda will reply in writing and unless this has been provided the booking stands as per the last confirmation.
Cancellations of bookings made by Credit Card will incur a 4% cancellation fee regardless of the date of cancellation. Refunds are paid by BACS or cheque at the discretion of Travel Agenda Ltd.
The full amount will be charged for ‘no-shows’ and cancellations or amendments received within 2 full working days may also lead to the levying of 100%. Travel Agenda Ltd cannot guarantee the refund of any monies paid or to reschedule.
Travel Agenda and its business partners reserve the right to cancel an event due to insufficient numbers or a corporate buy out. In which case an alternative date or full refund of monies paid will be given.
Cancellation Policy for FIT guests
Cancellations can normally be made up to 3 working days prior to arrival. However some venues require earlier notification of cancellation and in these cases you will be advised of cancellation terms prior to your booking.
Cancellation within the deadline will incur a minimum of charge of one night (if for accommodation) and/or any cancellation fees levied by the venue/service provider.
Cancellation Policy for groups
The cancellation policy for groups will vary depending on the venue but is usually one month minimum and payments not received within that time may lead to the cancellation of the booking. Clients should note that Travel Agenda must receive monies in sufficient time to pay the venue concerned.
Up to and including 31 days before arrival:
No charge will be made unless a non-refundable deposit has been paid or one or other services (e.g., tickets for shows or special events) have been confirmed as booked, in which case the deposit and/or any cancellation charges due to the supplier(s) will be payable.
Less than 31 days before arrival:
Although Travel Agenda will always strive to avoid cancellation charges wherever possible any amounts due as per the cancellation policy may be applied in full.
Responsibility
Travel Agenda’s responsibility is limited to the actions of Travel Agenda employees only. Travel Agenda cannot accept liability for the actions of its suppliers.
The Agents (Supplier) is responsible for providing Travel Agenda with accurate information about clients and their desired tour arrangements and also to advise clients of any changes. If, for any reason beyond the control of Travel Agenda, a change to the programme or accommodation booked is necessary, this will be made in the best interest of the clients.
All changes – including changes in pricing, terms and conditions, booked programmes or accommodation - will be communicated as soon as possible but will take affect as per the date given (regardless of length of notice).
Travel Agenda will endeavour to make alternative arrangements of the same standard if this is possible.
Travel Agenda and its employees do not accept any liability for any death, injury, damage, theft or loss sustained at our venue to any person or their belongings, including vehicles.
Travel agenda cannot be held responsible for compensation or refund for damage, loss or non-completion of any arrangements or any delays in services as a result of conditions beyond the control of the company, such as:
- War, terrorist activities, civil unrests, strikes, riots of lockouts affecting any trade which Travel Agenda is concerned
- Adverse weather conditions, natural disaster and pestilence
- Fire
- Closure of airports or ports
Travel Agenda and its agents cannot be held responsible for items left behind by customers although every reasonable effort will be made to locate and return any such property.
Quality of services
To register a complaint the tour leader or the client’s agent must advise Travel Agenda immediately so that prompt efforts can be made to resolve the situation.
Any unresolved complaints must be advised in writing to us no later than 10 days after departure for any claims to be considered. Failure to take these steps will prejudice the ability of Travel Agenda to resolve any problem and/or to investigate fully. This in turn means that, other than for exceptional circumstances, any right to compensation by Travel Agenda or any supplier will be substantially reduced or nullified.
Important
These terms and conditions are governed by English Law and, in the unlikely event of dispute, the parties shall submit to the exclusive jurisdiction of the English Courts.
The liability of Travel Agenda in respect of any breach of these terms and conditions, including any implied terms shall not exceed any consequential loss however suffered by the client or the guests and shall in any event be limited to the maximum amount invoiced and paid for the booking.
Travel Agenda Ltd. and its agents reserve the right to refuse admission and remove from that service any person whose condition in the opinion of Travel Agenda or its agent’s staff interferes, or is likely to interfere with the enjoyment of the service by other participants.
